Attendance evidence for a training programme that is audited
A public sector undertaking ran a rolling technical training programme where attendance carries a compliance obligation. Session-level scanning replaced signature sheets across eleven months.
The challenge
What was actually wrong
Signature sheets are slow to collect, easy to complete on someone's behalf, and produce a record that is difficult to defend at audit. With attendance tied to a compliance obligation, a disputed record is a real problem rather than an administrative one.
Approach
How we sized it
We deliberately kept the change small. Rather than a new training platform, we added session-level scanning on the existing ID cards and left every other process untouched. The smaller the change, the more likely it survives eleven months of daily use by people who did not ask for it.
Deployment
What went on the floor
Fixed readers at four training rooms plus two handhelds for offsite sessions, all offline-capable and syncing to a single record. Monthly exports in the format the internal audit team already used, which meant no change on their side either.
