Privacy policy

This policy covers this website and the event technology we operate on behalf of organisers. Those are two different roles and the distinction matters, so they are separated below.

Effective 28 July 2026

01

Two roles: controller and processor

For this website and our own marketing, VConnect Services is the data fiduciary (controller). We decide what is collected and why.

For delegate data at an event, the organiser is the data fiduciary and we are the data processor. We process only on their instruction, for the purposes of that event, and we do not use delegate data for our own marketing. Ever.

02

What we collect on this website

Only what a form or a tool needs to do its job.

  • Contact and proposal forms: name, work email, phone if you give it, organisation, and what you tell us about the event.
  • Calculators and the proposal builder: the inputs you enter, so we can produce the estimate and follow up usefully.
  • Newsletter: email address, plus the confirmation timestamp. Double opt-in — we do not mail you until you confirm.
  • Analytics: aggregate page views and Core Web Vitals. Self-hosted, no cross-site tracking, no advertising identifiers.
03

What we do not do

  • We do not sell or rent personal data.
  • We do not use delegate data from one client's event to market to those delegates.
  • We do not run third-party advertising trackers on this site.
  • We do not require an account to read anything here.
04

Retention

Website enquiries are kept for 24 months from last contact, then deleted. Newsletter records persist until you unsubscribe, after which we keep only a suppression hash so we do not re-add you by mistake.

Event delegate data is retained for the period set in the contract with the organiser — typically 90 days after the event — then purged. The organiser receives a full export before purge.

05

Where data is held

In India, on infrastructure we control. Sub-processors are listed on the security page, and we will name every one before you sign rather than referring you to a generic list.

06

Your rights under the DPDP Act 2023

You may request access to your data, correction of it, or its erasure. You may withdraw consent for marketing at any time, and every email carries a working unsubscribe link.

For website data, write to sales@vconnectservices.co.in and we will respond within 30 days. For delegate data from an event, the organiser is the fiduciary, so please contact them; we will support their response.

07

Changes

Material changes will be announced on this page with a revised effective date. We will not quietly broaden what we collect.
