Refund and cancellation policy

Event work has committed costs — badge stock, hardware reservations, crew bookings — so cancellation terms depend on how close to the show date you are. These are our standard terms; the signed agreement governs.

Event packages

Measured from the first show day:

  • More than 30 days out: full refund of anything paid, less any consumables already produced to your artwork.
  • 15 to 30 days: 50% of the contracted value is retained, covering reserved crew and hardware we can no longer resell into that window.
  • Under 15 days: the full contracted value is due. At that point crew are booked, kit is allocated and stock is printed.
  • Postponement rather than cancellation: fees transfer in full to a new date inside 12 months, subject to availability. We would always rather move a date than keep a cancellation fee.

Retainers

Retainers run for the agreed term with 60 days' notice to terminate. Fees already paid for the current quarter are not refunded, but reserved dates inside that quarter remain available to you.

Build engagements

Fixed-scope work is invoiced against milestones. Cancelling stops future milestones; completed and accepted milestones are payable. You keep everything produced up to that point, including the repository.

Time-and-materials work stops at the end of the current sprint, with hours worked payable.

If we cancel

If we cannot deliver for a reason within our control, you receive a full refund plus any documented direct costs you incur re-sourcing at short notice. We have not needed this clause, and we would rather it be in writing anyway.
