Case study

One investor day, four cities, the same nine seconds

A private sector bank ran its investor day simultaneously in four cities with a shared keynote feed. Identical registration kit and one control room kept check-in consistent across all four floors.

An event show-control desk mid-session: laptops, a vision mixer, comms headsets and a run-sheet marked up in pen.
Every cue on the run-sheet is someone's job for the next ninety seconds.

The challenge

What was actually wrong

Four venues, four local crews and four different registration approaches had produced wildly different delegate experiences the previous year — nine minutes in one city, forty in another. Compliance also required that the attendance record be defensible across all four sites as a single dataset.

Approach

How we sized it

We standardised the kit list rather than the supplier: identical counters, identical printers, identical software image, shipped as four sealed cases. Local crews were briefed on the same one-page runbook. The point was not that our kit is better, it is that four identical deployments produce four identical outcomes, and a single dataset.

Deployment

What went on the floor

Four counter banks of three, each on its own dedicated network with bonded cellular failover, all writing to one reconciled record. The keynote was contributed from Mumbai and distributed to the other three, with each city's local sessions produced independently.
