Sponsors renew on evidence, not on thank-you emails
The renewal conversation is decided by whether the sponsor can show their own management a number. Give them one.

The renewal is decided inside the sponsor's organisation
Your relationship is with the marketing manager who bought the stand. Their problem is a conversation with their own finance or sales leadership, some months later, in which they have to justify the spend.
If all they have is footfall and a nice photograph, that conversation goes badly and you lose the renewal for reasons you never see.
Your job is to hand them the evidence for that meeting.
What a sponsor can actually use
Named leads with context. Not a count. Who, from where, what they asked about, and when. A list of 40 named contacts with a note against each beats "1,200 stand visitors" in every internal conversation.
Dwell time at the stand. Distinguishes people who stopped from people who walked past. It also lets a sponsor compare their stand against the floor average, which is what they actually want to know.
Session attendance for sponsored content. If they sponsored a session, how many attended, how long did they stay, and how does that compare to the track average.
Comparison against last year, or against the floor. A number without a reference point is not evidence. 40 leads means nothing until you say the floor median was 22.
Instrument the floor before you sell the sponsorship
This is the ordering mistake that costs renewals: the packages are sold, the event runs, and then someone asks what data exists.
Decide what you will measure before the rate card is printed, because it changes what you can sell. A stand package that includes lead capture and a dwell report is a different product at a different price from a table and a banner.
The 24-hour rule
Deliver the sponsor report within 24 hours of close.
At 24 hours the sponsor's team is still together, still talking about the event, and the leads are still warm. At three weeks the leads have gone cold, the team has moved on, and the report is filed.
This is a production decision, not an analytics one: it means the reporting is built and tested before the event, not assembled afterwards from exports.
Be honest about what underperformed
A sponsor report showing every metric as a success is not credible and does not survive contact with their own sales data.
If a stand in a poor location got half the floor median, say so, and say what you will do about the location next year. That conversation renews. The one where you present strong numbers they cannot reconcile with the four leads their sales team actually received does not.
The compounding effect
Sponsors who can evidence return renew, and they renew at a higher level, and they tell other sponsors.
The instrumentation that makes that possible is a modest cost, mostly in scanners and reporting build. It is the single highest-leverage investment in an exhibition's commercial model, and it is routinely under-funded relative to the carpet.

01How do we measure dwell time without tracking individuals?
Anonymous presence counting at the stand boundary gives you dwell distribution without identifying anyone, and it is what most sponsors actually want. Identify only the delegates who present their badge, because that is a voluntary action they understand as an exchange of details.
02What if a sponsor's leads are genuinely poor?
Tell them before the event ends, while there is still time to change something — move a roamer, re-site a demo, put them in a session. A sponsor told on day one that their stand is underperforming and helped to fix it renews more often than one who finds out from a report.
03Should lead data go straight into the sponsor's CRM?
It is the most useful delivery format and it needs care: the sponsor is a separate controller, so the delegate must have understood that scanning shares their details with that company. Get the notice right at registration and on the stand, then the integration is straightforward.
